How to host a race

ALBERTA ENDURANCE ICE RACING ASSOCIATION (A.E.I.R.A.)

A.E.I.R.A. WILL PROVIDE THE FOLLOWING:

LAP COUNTING SYSTEM:  Mandatory

Your cost:  $500.00/six hours ( club rental fee )
Included:
  -4 expert staff personnel to handle lap counting  via laptop computers and AMB timing system.

-Manual and/or back up lap counters.
-For rental of the transponders contact Jamie Hodgson @ 780-435-4000
-Results of the race can be viewed on monitors located along pit row.

REFEREES:  Mandatory

            Each club may supply their own referee(s) providing they have taken the referee short course instructed by Willy Sydor (contact: 780-474-8337 ) or Dan Cheron  (contact: 780-967-5742) @ a cost of $50.00. If you do not supply your own referees, they can be provided by contacting the AE.I.R.A. The cost is $100.00/referee (one referee per 10/15 teams is recommended).
Referees are there to assist you at the riders meeting, run practice/parade lap, assist with security at the event, deal with complaints/protests, and run the start and the finish of the event.

BANQUET @ the end of the season. The top 5 teams in each class will be awarded a plaque (one per team) and gifts.

ICE RACE REQUIREMENTS ARE:

YOUR CLUB MUST SUPPLY:

AMBULANCE: on site the day of the event including the practice. (GPS Location)

INSURANCE: CMRC/ADRA Insurance is required.(talk to the AEIRA)

ADRA LEVY FEE: $3.00 per racer.

SIGN-IN: Person(s) to handle sign-ins and collect entry fees. ($40.00 per race per rider, $10.00 going to the AEIRA. CMRC licenses will be available for purchase if needed.

SIGNS: It is strongly suggested to have a series of safety signs posted around the track and at the entrance to the track (This is the best spot to post signs reminding people of the dangers involved in ice-racing.

            Example:         !Stay 20 ft. from track!

                                    !Stay on Plowed Area!

                                    !Keep children under surveillance!

                                    !Dogs must be kept on leash at ALL times!

SWEEPER: A sweeper (tractor pulled) to clean the track can be leased from PDRA (contact Claudette Kuster @780-349-3343. (Minimum 50 HP required)

PLOW TRUCKS:  Having at least two trucks with blades with the sweeper has proved effective in the past for 6 hr. races. Contact the AEIRA for more info.

ADVERTISING / PRIZES:

  • It is strongly suggested to print a program containing information for advertising purposes. In the past, this has proved successful in encouraging public awareness and the promotion of the racing event.
  • In the past t-shirts/awards have been given to the racers at the end of the race. Trophies are commonly given to the top five in each class. This is not mandatory but is greatly appreciated by the riders.

OUTHOUSES: Need to be provided

GATE CREW: Person(s) at the gate to collect a fee of $5.00 per person or $10.00/carload. This is a standard price to charge. All person(s) entering through this gate shall sign a waiver  due to the potential hazards of the ice and the event.

ICE THICKNESS: The lake/pond should be checked for thickness. The current CMRC requirement is 22 inches of ice. The track should be cut 1-2 days prior to race day.

TRACK LENGTH: The track must be a minimum of 5km long. (The longer the better)

TRACK WIDTH:  25 feet wide with a minimum of 20 feet between lanes.

PIT ROW: A large ridge of snow is recommended between pit row and the front straight to help in the safety of pit crews and the public. The track can be made however the promoter would like.
